AT WODland HQ, WE are ALWAYS on the lookout for vendors and volunteers to help judge and make sure the experience is as good as it can be for everyone involved.

VOLUNTEERS
You guys are the real heroes of the day, you help make it happen, you keep the playing field fair and help make sure everything runs on time.

Often overlooked we will not make that mistake, we want to look after you guys, you will of course get a special t shirt to wear on the day, camping all weekend if you like, we will keep you fed and watered, we also want to give you some big discount and guaranteed entry to our second WODland event.

TRADERS

Everyone loves food and new kit, whether it be a healthy high energy snack or coffee to keep the athletes going, a bacon sandwich or hog roast to keep spectators fuelled or the latest clothing, wrist wraps, foam roller or footwear to give someone that extra 1% in their workout (or street cred at least).

There will be ample room set aside on site for trader stalls and catering - and with 400+ athletes, their friends and families, and dozens of staff here on the day, there will be a sizeable audience to keep you busy.

Please get in touch if you would like to be a part of the event, you certainly won’t get a more captivated audience than in amongst the trees in our forest!

TRADER FAQS

1. WHEN IS THE EVENT?

The festival will take place:

26th - 27th August 2023

Open to the Public (trading hours):

Saturday 26th August; 9:00am - 5pm

Sunday 28th August; 9:00am - 5pm

The full site is accessible and no matter where your pitch is, you will have punters exploring the site and you will have a steady trade.

2. DELIVERIES

We understand that you may need to take in deliveries before and during the course of the event. Please make sure that a member of your team is available and on site to receive the delivery. Delivery vans will be held by security and will not be allowed on site for health and safety reasons. We will do our best to guide your transport delivery in and out (if required) to your pitch but please be advised that during the event mornings our onsite vehicles are limited and priority will be given to event set up.

3. WHAT LEGAL DOCUMENTS ARE REQUIRED?

We require all traders to provide proof of Public Liability Insurance.

Traders that are using electrical and/or gas appliances must provide us with appropriate Risk Assessments, and all electric & gas appliances need proof of recent safety checks.

Finally all traders that are serving food and/or drink must supply us with UK Health & Safety Food Handling And Hygiene Regulation document.

We require this documentation on or before the 30th July 2021 prior to the event.

4. WHAT IS YOUR WASTE DISPOSAL & RECYCLING POLICY?

WODland aspires to be a green event and we encourage food and beverage packaging to be recyclable.

Any trader waste must be disposed of by yourself. There will be bins provided onsite for the public. Please leave your pitch in a clean and tidy condition. We may charge you for removal of any left over rubbish if we find that you have not stuck to our rules.

5. ARE THERE ANY RULES AROUND WHAT I CAN AND CAN’T SELL?

We would like it if you can adhere to the following rules:

1- No Glass.

2- No alcohol unless explicitly approved by the organiser, exclusive to bar traders.

3- No legal highs or drug paraphernalia.

4- We aim to ensure each trader is unique, we ask you to let us know what products you are selling to ensure traders don’t overlap where possible.

6. ARE WE EXPECTED TO TAKE STAFF FOOD VOUCHERS?

If you are a food and beverage trader you are expected to participate in our food voucher scheme for volunteers, staff and artists. (you can limit the amount of vouchers you accept to 50 per day). You can select items from your menu that the vouchers are redeemable against or create a special “staff dish” that fits in with the budget.

7. CAN I TAKE A BREAK AND LEAVE MY PITCH?

Sure! Just leave someone else in charge – for the purposes of health and safety your pitch must be staffed at all times during trading hours.

8. WHAT IS THE DEADLINE FOR APPLICATIONS?

The deadline for applications is the 1st of June 2023
